Ethics & Standards
Last Updated: May 3, 2026
At 9Pic AI, we recognize that processing biometric event media requires an uncompromising foundation of trust. By using our services, Organisers pledge to uphold the following strict, non-negotiable code of ethics.
1. The Right to Privacy and Biometric Ownership
Facial recognition and bib tracking are powerful tools designed strictly to make finding memories frictionless. They are not tools for public surveillance.
- Explicit Consent: Organisers must ensure that Participants are proactively informed that AI technologies are being used to process their event photos and videos. Transparency is mandatory, not optional.
- Protection of Minors: Processing the biometric data of minors (under the age of 18) carries elevated legal and ethical risks. Organisers must secure undeniable, explicit consent from a parent or legal guardian before running youth-centric media through our AI systems.
- The Right to Be Forgotten: Participants own their faces and their data. If a Participant requests the removal of their photos, videos, or biometric faceprints, the Organiser must honor it immediately. 9Pic AI also reserves the right to execute deletion requests directly to protect Participant privacy.
2. Algorithmic Fairness and Transparency
We acknowledge that Artificial Intelligence is not inherently neutral, and we are dedicated to mitigating technological bias.
- Bias Mitigation: 9Pic AI actively monitors FaceFind and BibTrack for demographic biases to ensure equitable accuracy across all ages, genders, and skin tones.
- Honest Representation: Organisers must not misrepresent the capabilities of the Platform. AI models process thousands of frames in seconds, but false matches or missed tags can occur.
- Human Oversight: Technology assists, but humans verify. Organisers are expected to provide manual support to Participants who experience friction and must review their galleries before publishing to ensure overall accuracy.
3. Data Minimization and Anti-Surveillance
Biometric templates are immutable and require the highest tier of digital security and respect.
- No Function Creep: Participant data exists for one specific purpose: to connect them with their media. 9Pic AI and its Organisers will never sell, rent, or voluntarily share facial recognition data with third-party data brokers, marketers, or advertisers.
- Data Pruning: Biometric event data should not exist in perpetuity. Organisers are expected to routinely clean up past events, and 9Pic AI will periodically prune dormant biometric faceprints.
- Bystander Privacy: Events happen in public spaces. Organisers must never use 9Pic AI's tools to intentionally track, identify, or extract data regarding bystanders, staff, or members of the public who are not registered Participants.
4. Zero-Tolerance for Unsafe Content
9Pic AI is built to celebrate human endurance, community, and joy. It is strictly reserved for athletic, corporate, and public community events.
- Strictly No Sexual Content: We maintain an absolute, zero-tolerance policy against the upload, hosting, or distribution of any sexual content, nudity, or pornography.
- Safe Spaces Only: We equally prohibit any explicit, abusive, violent, or illegal media.
- Immediate Action: Any violation of this rule will result in the immediate and permanent termination of the Organiser's account. Offending photos or videos will be deleted immediately and permanently.
5. Intellectual Property and Copyright
Organisers must respect the creative rights of the professionals capturing these moments.
- Clear Ownership: Organisers must have explicit permission from both the event director and the original photographer(s) or videographer(s) before publishing and monetizing media on 9Pic AI.
- Takedown Compliance: Uploading stolen or unlicensed media is strictly prohibited. 9Pic AI complies with standard IP takedown requests to protect creators.
6. Transparent and Accountable Commerce
We empower Organisers to run their own businesses by utilizing a Restricted API Key model, ensuring that payments flow directly from the Participant to the Organiser. With that empowerment comes direct responsibility.
- Financial Accountability: Organisers are entirely responsible for managing their own payment gateways, customer support, and refund requests for all photo and video sales. 9Pic AI will not issue refunds or mediate transactions.
- Cross-Border Compliance: Organisers act as the primary "Data Controllers." When operating internationally, Organisers are responsible for ensuring their payment processing and data collection comply with local regulations (such as the GDPR).
- Fair Dealings: We expect Organisers to act with integrity, honoring event promises, delivering high-quality media, and addressing Participant concerns promptly and professionally.
If you have questions about these standards, or if you are a Participant who needs to report an ethical violation by an Organiser, please contact our trust and safety team.
